Veterinary Receptionist

Western Victoria Vets is looking for a friendly, organised and enthusiastic Veterinary Receptionist to join our growing team at our brand-new purpose-built clinic in Ararat.

Role Description

Full-Time or Part-Time

Our reception team is the first and last point of contact for our clients, and we see this as one of the most important roles in our practice. We’re looking for someone who genuinely enjoys working with people, communicates confidently and takes pride in creating a clean, welcoming and professional environment for every client who walks through our doors.

Veterinary experience is an advantage, but it isn't essential. We are very happy to train the right person — attitude, reliability, initiative and great people skills are what matter most to us.

About the Role

This is a busy, hands-on and varied position where no two days are quite the same. Your responsibilities will include:

  • Welcoming clients and their pets with warmth and professionalism
  • Answering phone calls and responding to client enquiries
  • Scheduling appointments and managing the appointment diary
  • Keeping clients informed of wait times and communicating with them throughout their visit
  • Admitting and discharging patients
  • Processing payments and assisting with client accounts
  • Preparing paperwork and completing general administration tasks
  • Helping clients organise follow-up appointments and recommended revisits
  • Communicating clearly between clients, veterinarians and nurses
  • Maintaining a clean, tidy and welcoming reception and waiting area throughout the day
  • Regularly wiping down reception surfaces, seating and other high-traffic areas
  • Checking the waiting room and front of the clinic regularly for pet hair, dirt, rubbish or animal accidents and cleaning these promptly
  • Spot cleaning floors and other areas as required throughout the day
  • Keeping reception, client bathroom and other front-of-house areas stocked, presentable and ready for clients
  • Assisting with general clinic cleaning when required, particularly during busy periods
  • Helping maintain a high standard of hygiene and presentation throughout our new facility
  • Helping our veterinary team keep the day running smoothly

Who We're Looking For

You don't necessarily need to have worked in a veterinary clinic before.

You do need to be someone who:

  • Loves dealing with people and provides genuinely great customer service
  • Is friendly, approachable and confident
  • Can answer the phone with a smile — even on a busy day!
  • Has excellent communication and interpersonal skills
  • Is organised and able to prioritise when several things are happening at once
  • Has good attention to detail and notices when something needs doing
  • Takes pride in keeping their workplace clean and presentable
  • Isn't afraid to pick up a mop, wipe down a seat or clean up after an animal when needed
  • Is comfortable using computers and learning new software
  • Shows initiative rather than waiting to be asked
  • Is reliable and works well as part of a team
  • Can remain calm and compassionate when clients are worried or upset
  • Understands that veterinary reception involves both wonderful and difficult moments
  • Loves animals, while understanding that this is primarily a people-focused customer service role

Experience in veterinary reception, medical reception, administration, hospitality, retail or another customer-facing role would be highly regarded.

Western Victoria Vets is a locally owned mixed animal veterinary practice servicing Ararat and the surrounding Western Victorian community.

We've recently moved into our brand-new purpose-built veterinary clinic at 246 Barkly Street, Ararat, giving our team a fantastic environment in which to work and allowing us to continue expanding the services we offer our clients.

We have a busy and interesting caseload across companion animals and livestock and pride ourselves on being a friendly, practical and community-focused veterinary practice.
